How Many Prospects Do You Need to Hit Your Demo Goal?

Work backward from your demo goal. Enter how many completed demos you need and how often a qualified prospect turns into one, and see the outreach volume it takes, per week and per business day.

Completed demos divided by qualified prospects reached. Not your email reply rate or demo booking rate.

Starting values are examples, not benchmarks. Replace them with your own numbers.

What this calculator measures

Most demo targets fail at the top of the funnel: the team never reaches enough qualified prospects to make the math work. This calculator turns a demo goal into the number of qualified prospects you need to reach, and spreads that across your campaign so it becomes a weekly and daily activity target.

The formulas

  • Qualified prospects required = target completed demos ÷ conversion rate, rounded up.
  • Demos per week = target demos ÷ (campaign days ÷ 7).
  • Prospects per week = qualified prospects required ÷ (campaign days ÷ 7), rounded up.
  • Prospects per business day = qualified prospects required ÷ (campaign days × 5 ÷ 7), rounded up.

Getting the conversion rate right

The conversion rate here is completed demos divided by qualified prospects reached. It is not your email reply rate, your meeting booking rate, or your show rate. If you track those separately, multiply them together to get this number. For example, if 20% of prospects you reach reply, 40% of replies book, and 75% of booked demos happen, your rate is 20% × 40% × 75% = 6%.

Use your own historical numbers when you have them. If you don't, run the scenario table above at a few rates so you can see how much the plan depends on that one assumption.

How to use the result

If the prospects per business day number is more than your team can realistically reach, you have three levers: extend the campaign, raise the conversion rate (tighter targeting, better messaging, stronger offers), or lower the demo target. The calculator makes that trade-off visible before the quarter starts, not after it ends.
